For faith communities

Sunday should feel like Sunday.

Not like a logistics problem you're still solving at 9pm on Saturday. OnNuma gives your whole week a shape - so when Sunday arrives, everything is already in place.

Membership records, serving rotas, DBS compliance, newsletters, and pastoral care - one hub, built for churches.

The Sunday problem

Sunday comes every seven days. Whether you're ready or not.

You can't postpone it. You can't cancel it. And the week before it is full of anxiety that - with the right tools - simply doesn't need to exist.

Saturday night. Still a gap on the rota.

You're messaging people who've already said no twice. Someone says yes out of guilt. Sunday morning arrives in the wrong spirit.

Sunday morning. Is Dave's DBS still valid?

He's about to serve in Children's Church. His DBS expired three months ago. You didn't know. This is not a good moment to find out.

After Sunday. Someone quietly didn't come back.

She cancelled three Sundays in a row. Nobody noticed. Nobody called. By the time you thought to check in, she'd already moved on.

"Sunday is sacred. The week before it shouldn't feel like a crisis."

With OnNuma

Sunday sorted. Every week.

When the rotas are built, the reminders are sent, and the safeguarding is covered before Saturday night - Sunday is just Sunday again.

Wednesday done Rotas built mid-week. Volunteers notified. Gaps visible and filled before the weekend even starts.
Saturday calm No chasing. No last-minute messages. Everyone who's serving knows it - and so do you.
Sunday present You're not managing logistics from the back row. You're actually there - for the service, and for your people.
Our biggest differentiator

Built to make it simple for volunteers.

Most volunteer systems are built for the coordinator. MyHub is built for the volunteer. Every person who serves at your church gets their own private portal - accessible from any phone, no app to download, no password to remember.

When volunteers manage themselves - setting their availability, confirming shifts, flagging clashes - your job stops being admin and starts being leadership.

Magic link - no password ever

They tap a link in their email (or SMS). That's it. No account creation, no forgotten passwords, no support calls.

Set availability once, respected every time

Volunteers tick the days and times they can serve. The rota builder only offers them slots they've already said yes to. Burnout drops. Resentment disappears.

Confirm, decline, swap - from their phone

They see what's coming up, can say "I can't make this one", and add confirmed slots to Google or Apple Calendar. You're notified. No chasing.

Membership Database

Know who's serving
before Sunday arrives.

Every person who walks through your doors on Sunday has a story - when they joined, what they do, when they're available, and sometimes, what they're carrying. OnNuma keeps all of that in one place, so you can lead people rather than track them.

  • Membership status - Member, Attender, Former Member (customisable to your terms)
  • Availability by day and time - never ask someone you know can't make it
  • Full serving history - every rota, every role, every year
  • Private coordinator notes - visible only to admins, never to the volunteer
  • Custom lists and segments for targeted emails and rota building

Rota Management

Sunday's rota sorted
by Wednesday.

Volunteers tell OnNuma when they're available. You build rotas from people who've already said yes. Gaps show up in red - not at 9pm on Saturday, but on Tuesday when there's still time to fill them properly.

When people feel their limits are respected - not just asked about - they keep coming back. When you pressure them past it, they quietly stop.

"I used to spend Sunday morning worrying about who hadn't turned up. Now I know by Thursday. It changes everything."

- Church coordinator, West Midlands

Communications

Everyone knows what's
happening on Sunday.

Serving reminders go out mid-week. The newsletter lands on Friday. Nobody turns up on Sunday not knowing what they're doing - because they were told, clearly, from a system that sounds like you.

Newsletters
Rich HTML, your branding, sent to the whole congregation or a single ministry team.
Personal at scale
{{first_name}}, {{event_title}}, {{date}} - every email feels written for one person.
SMS add-on

The tools only a church needs.

Sunday is the heartbeat. But what happens in the other six days - the pastoral check-ins, the service planning, the policies, the moments of recognition - determines how Sunday actually feels.

Pastoral Care

Catch people before they leave quietly

Three missed sessions in eight weeks triggers a flag - not a reprimand. A quiet reminder to check in on someone who matters.

Notices & Policies

Governance, filed - not lost

Safeguarding policies, governance documents, notices - one library. Draft, active, archived. Volunteers read what they're meant to read in MyHub.

Long-Service Recognition

Never miss a moment to say thank you

When someone hits one year, five years, 50 sessions or 100 - a prompt appears. Because these moments deserve to be marked, not missed.

Your Terminology

Volunteer, Member, Congregation - your words

Rename anything: Volunteer → Member, Rota → Schedule, Event → Service. The whole platform - including emails sent to your people - speaks your language.

Custom Forms

Collect exactly what your church needs

Build your own forms - event registration, prayer requests, parental consent, new member sign-up. Responses are linked to the right person in your Hub automatically.

Service Planner

Plan every service - top to bottom

Running order, readings, songs, assigned responsibilities. Export to PDF individually or batch-print the next four services.

DBS & Safeguarding

Never find out on
Sunday morning.

Sunday morning is the worst moment to discover a DBS has lapsed. OnNuma gives you a single dashboard - Green, Amber, Red - so expiry is caught weeks in advance, not minutes before a volunteer walks into Children's Church.

  • Renewal reminders 60 days before expiry - automated, not manual
  • Track level: Basic, Standard, Enhanced, Enhanced Barred
  • Safeguarding training records with 3-year renewal cycle
  • Mark roles as DBS-required - warned when assigning without cover
  • Pastoral absence tracking - flags patterns before people leave quietly
  • Update Service registration - lifelong cover flagged where it applies

Common questions

Things coordinators ask before they start

Do volunteers need to create an account or remember a password?

No. Volunteers never create an account and never set a password. When you publish a rota, each person gets a personalised link by email (or text, with the SMS add-on). They tap it and they're in - straight to their serving slots. Nothing to download, nothing to register for. If they need to return later, a fresh link takes ten seconds.

Isn't a link less secure than a proper login?

No - it's the same principle as a bank one-time passcode or any password-reset email. The link is unique, single-use, and expires. It proves the person controls that email or phone number. There's no password to forget, guess, or steal. Most volunteers find it considerably simpler than maintaining credentials for a system they use once a week.

We have people who don't use technology easily.

MyHub is designed to require as little as possible. If they can tap a link in an email, they can use it. For those with neither email nor a mobile, you manage their shifts from Hub directly - they don't need MyHub at all. The system meets people where they are.

We tried a system before and people didn't use it.

That's the most common thing we hear. Most systems are built for church administrators, not the volunteers serving. MyHub is the opposite - no registration, no app, no interface to learn. A link arrives. They tap it. They see their slots. Adoption is the hard part of any software change; we've made it as low-friction as possible.

Can I control who gets access to their serving portal?

Yes, completely. A volunteer receives access only when you add them to Hub and publish a rota that includes them. They see only their own serving slots and availability - nothing about other people, nothing about internal records. Access is per-link, not per-account.
