Right now, your rota lives in a WhatsApp group. Confirmations arrive at 9pm. You find out about a no-show ten minutes before the session starts. This isn't a technology problem. It's a respect problem - and it's costing you good people.
Volunteer records, shift rotas, DBS compliance, and a self-service portal that treats your volunteers like the adults they are.

The coordinator's week
You're a volunteer yourself, or close to it. You took on "just a bit of coordinating" and it became a second job. Every week, the same three problems.
Not because it's slow. Because you know you're making someone feel guilty - and you know they'll say yes because they feel bad, not because they can. They'll arrive on Saturday already resentful. You can feel it coming.
The shift starts in ten minutes. You think her check lapsed last month. This is not the moment. And yet here you are, in this moment, trying to look like this is normal.
Your most reliable person did seven shifts last month. No one else filled the gaps. She hasn't said anything - she wouldn't. But you've watched this pattern before. You know how it ends.
"The mission is urgent. The erosion of goodwill shouldn't be the price of it."
With OnNuma
When the rotas are built, the reminders go out automatically, and the safeguarding is covered before the session starts - you stop being the person making everyone feel obligated. You become the coordinator people are glad to work with.
Most volunteer systems are built for the coordinator. MyHub is built for the volunteer. Every person who gives their time gets their own private portal - accessible from any phone, no app to download, no password to remember.
When volunteers manage themselves - setting their availability, confirming shifts, flagging clashes - your job stops being admin and starts being leadership.
No password. No app. Just a link.
A link arrives in their inbox or by text - they tap it, they're in. We're not adding to their life. We're fitting around it.
Their limits, on record
They set the days and times that work for them. The rota only offers shifts they've already agreed to in principle. You stop being the person who asks too much.
They're in control. You're not chasing.
They see upcoming shifts, can flag a clash, add confirmed slots to Google or Apple Calendar. You're notified instantly. No WhatsApp. No 9pm guilt spiral.

Volunteer Database
Every volunteer in your charity has a story - how long they've been with you, what they do, when they're free, and sometimes, what they're carrying. OnNuma keeps all of that in one place, so you can lead people rather than just track shifts.
Every role, every session, colour-coded at a glance.
See who is assigned where across the whole week.
A personal view for every volunteer - no passwords, no app.
Shift Scheduling
Volunteers tell OnNuma when they're available. You build rotas from people who've already said yes. Gaps show in red - not on Saturday morning, but on Monday when there's still time to fill them without pressure.
When people feel their limits are respected - not just asked about once and then ignored - they keep coming back. When coordinators keep pushing past it, good volunteers quietly disappear.
"I used to dread Thursday evenings. Not because it was a lot of work - because I hated making people feel like they had to say yes. Now the system sends the reminders and I just see who's confirmed. I hadn't realised how much that was costing me."
Communications
A well-formatted email with someone's name and role in it is a small thing. But it says: your time matters enough for us to do this properly. That's not a minor UX detail. It's the difference between a volunteer who feels valued and one who feels managed.
Shift reminders go out automatically. Your newsletter reaches the right people. Nobody turns up not knowing what they're doing - because they were told, clearly, from a system that sounds like you.
Hi {{first_name}},
A quick reminder that you're on {{role_name}} this Saturday at {{shift_time}}. We're really grateful for your time.
If anything's changed, let us know via your MyHub portal or just reply to this email.
The features that make the difference aren't always the obvious ones. They're the ones that handle the human side of running a volunteer programme - the recognition, the boundaries, the language, the moments that matter.
When someone hits 50 shifts, one year or five years of service - a prompt appears. Because "thank you" is never automatic, but it should never be forgotten either.
One library. Volunteer code of conduct, lone-working policy, GDPR notices, health and safety briefings. Volunteers read what they're meant to read in MyHub - and you'll know they have.
Three cancelled shifts in eight weeks triggers a flag - not a reprimand. A quiet reminder for the coordinator to check in. Because good people don't always say when they're struggling.
Rename anything across the platform. Volunteer, Shift, Rota, Role - the whole system and every email sent to your people can speak your charity's language, not ours.
Build your own forms - volunteer sign-up, parental consent for youth programmes, incident reports, food bank slot booking. Responses link to the right person in your Hub automatically.
If you run multiple sites - charity shops, distribution centres, community venues - the Community plan keeps them separate in the rota but together in your records.
The worst moment to discover an expired DBS is always the moment you discover it. Because it's always right before a shift. OnNuma moves that discovery to six weeks earlier - when there's time, space, and no one standing in front of you.
If your charity works with children or young people - youth clubs, holiday programmes, after-school support - Children & Youth tools help you record every consent, protect every session, and link safeguarding records to the DBS data you already hold.

Common questions
No. Volunteers never create an account and never set a password. When you publish a rota, each person gets a personalised link by email (or text, with the SMS add-on). They tap it and they're in - straight to their shifts. Nothing to download, nothing to register for. If they close the tab and want to return, they request a fresh link. It takes ten seconds.
No - it's the same principle as a bank one-time passcode or a password reset email. The link is unique, single-use, and expires. It proves the person has access to that email address or phone number. There's no password to forget, guess, or steal. Most volunteers find it considerably easier than remembering credentials for a system they use once a week.
That's the most common reason coordinators come to us. Most volunteer systems are built for coordinators, not volunteers - they require registration, app downloads, and learning a new interface. MyHub requires none of that. Adoption is the hardest part of any software change; we've made it as frictionless as we know how. A link arrives. They tap it. They see their shifts.
With the SMS add-on, volunteers can receive their magic link by text instead. If a volunteer has neither email nor a mobile, you can manage their shifts directly from Hub - they don't need MyHub access at all. The system works around your team, not the other way.
Yes, completely. A volunteer only receives access when you add them to Hub and publish a rota that includes them. They see only their own shifts and availability - nothing about other volunteers, nothing about your organisation's internal records. Access is per-link, not per-account.
